The organization runs on spreadsheets and group chats. Sales live in one file, stock in another, approvals in a chat thread. Every report is assembled by hand, and when two copies disagree, nobody knows which one is true.
This is where schools, retailers and service businesses arrive after growth: several departments depend on one process, a dozen people edit the same files, and a wrong number costs real money or real blame.
What we build
One system, modelled on how your organization actually works, replacing the spreadsheet chain with a single record that everyone works from.
Operations, finance, HR, inventory, and approvals in one system, with reporting and role-based access built in from the first release.
- Workflow and approval engines
- Role-based access and audit trails
- Reporting and exports
- Data import from existing spreadsheets
This is also a product we run: Counterbase.
- Discover
- We map the current process with the people who do the work, including the workarounds. Those workarounds are requirements in disguise.
- Design
- The data model and the roles are agreed before any code: who can see, enter, approve and export. You sign off the permission matrix.
- Build
- The system reaches a staging environment in short cycles, so your team reacts to real screens and real data shapes, not mock-ups.
- Launch
- Existing spreadsheets and records are imported with tested scripts, and the cutover follows a written runbook with a rollback plan.
- Operate
- We monitor, back up and keep a support channel open. New workflow areas join an iteration roadmap instead of a new spreadsheet.
Seen in our work
Multi-branch POS · Live
Retailers with several branches lose sales when the internet drops and cannot see stock and takings across branches. Counterbase keeps every branch selling offline and syncs automatically when the connection returns.
Read the case studyBooking & training · Built
A corporate training business was running enquiries, bookings, and payments by hand. We built a public course catalog, scheduled sessions with seat holds and waitlists, online payments, and separate trainer and admin portals.

Common questions
We already have spreadsheets that work. Why change?
Spreadsheets stop working quietly: two people edit the same row, a leaver takes the only copy of a formula, and no one can say who changed what. A system gives you one record, controlled access, and an audit trail for the actions that matter.
Can you import our existing data?
Yes. Importing from existing spreadsheets is part of every build, and data moves with tested scripts, a written cutover runbook and a rollback plan. The migration is rehearsed before launch day.
Who can see and change what?
Roles and permissions are designed with you before the build and enforced on the server, not only in the interface. Sensitive actions are checked and recorded, so managers and auditors get answers.
How long does a system like this take?
It depends on scope, so we do not guess before discovery. The first phase ends with a scoped plan and a schedule you can hold us to, and you see working software in staging during the build, not only at the end.
What will it cost?
We quote a fixed scope per phase once we have mapped the work, with acceptance criteria agreed up front. Pricing before discovery would be a guess, and you would pay for the guess.
Do we depend on you forever?
No. Architecture notes, runbooks and environment guides are part of the delivery, so your organization is never locked out of its own system. Ongoing support is available, not a condition.
